TENANTS’  PRIVACY NOTICE

ASSURED SHORTHOLD TENANTS – WHAT WILL WE DO WITH THE INFORMATION YOU PROVIDE TO US?

All of the information you provide during the application for accommodation in a property owned by Linkmaster Finance Limited  (LFL) is done through our letting agents, St Andrew’s Bureau Limited (SAB). You will have received their privacy notice. Once accepted by SAB , and complete the Assured Shorthold Tenancy Agreement AST), this is sent to LFL for our signature to the agreement.

LFL only receive your personal data that is contained on the AST, namely your name(s), address, address of the property that you are letting and contact details for the nominated lead tenant. Also your contact details for the end of the tenancy.

LFL need this information to carry out their contractual duties as landlords.

 

HOW WE USE YOUR INFORMATION – WHO HAS ACCESS TO YOUR INFORMATION

LFL manage your rented property and LFL are your contact for any issues you may have.

Under our duties of managing the property, we may pass your details to:

Suppliers and sub-contractors that are working on our behalf for dealing with issues that you may have.

Maintenance contractors so that they can contact you directly to arrange access to the property to carry out maintenance.

Contractors to carry out routine safety checks that are part of our responsibilities as landlords.

When LFL use third party providers, we only disclose the information that is required for them to carry out their services. They have a contract in place requiring them to keep your information secure.

LFL will give references for our tenants, but only if requested by them.

 

RETENTION OF YOUR DATA

Existing Tenants – Right to retain data – Contract in place and legitimate interest.

Former Tenants – Right to retain data – legitimate interest – references – any legal issues.

 

YOUR RIGHTS

Under the General Data Protection Regulations (2018),  you have rights as an individual which you can exercise in relation to the information we hold about you.

 

ACCESS TO PERSONAL INFORMATION (PORTABILITY)

Data Subjects may submit a Subject Access Request (SAR) in order to obtain a copy of the personal data we hold about them in a structured and portable manner. All SARs should be sent  to the address below.

 

RIGHT OF DATA SUBJECTS TO ERASURE (RIGHT TO BE FORGOTTEN)

Former tenants may notify the Firm if they wish to exercise their right to erasure. Such a withdrawal of Consent does not

affect the lawfulness of processing based on consent prior to the withdrawal. LFL, however, may retain a copy of any personal

data that may be necessary for the establishment, exercise or defence of any future legal claims.

 

RIGHT OF RECTIFICATION

LFL will seek to ensure that inaccurate or incomplete data will be rectified.  Data Subjects have the right of

rectification. It would assist LFL to comply with this if you would notify LFL of any changes to your personal data that we hold.

 

CHANGES TO THIS PRIVACY NOTICE

We will keep our privacy notice under regular review. The date of the version and number will appear and the foot of the page.
